By placing an order or requesting a quote on gepcomtech.com, you acknowledge that you have read, understood and agree to be bound by these Terms & Conditions. If you do not agree, please do not proceed with your order.

1. About these Terms

These Terms & Conditions govern the sale of products, solutions and services by Gepcom Technologies ("we", "us" or "our") to you ("customer", "you" or "your"). They apply to all orders, quotations, invoices and transactions made through our website, by email, phone or in person, unless otherwise agreed in writing by an authorised signatory of Gepcom Technologies.

2. Products, Solutions & Services

We supply information and communications technology (ICT) products, extra-low-voltage (ELV) systems, hardware, software licences and related professional services. Product descriptions, images and specifications are provided for guidance only and may change without notice. We reserve the right to substitute an equivalent item where the exact model is unavailable, subject to your prior approval.

3. Quotes, Pricing & Payment

All prices are quoted in United Arab Emirates Dirhams (AED) and are exclusive of UAE VAT at 5% unless expressly stated otherwise. Quotations are valid for the period stated on the quote; if no period is stated, the quote is valid for 7 calendar days. We reserve the right to correct pricing errors before accepting an order.

Payment terms are strictly as stated on the invoice. For new customers, orders may require full or partial advance payment before shipment or service delivery. We accept bank transfer and other methods listed at checkout. Title to goods remains with us until full payment is received and cleared.

4. Orders & Acceptance

An order is not binding until we issue an order confirmation or invoice. We may refuse or cancel an order for reasons including non-availability, incorrect pricing, suspected fraud or failure to meet payment terms. Custom-configured, built-to-order, licensed or specially sourced items cannot be cancelled once the order is confirmed.

5. Delivery, Installation & Risk

Delivery dates are estimates and not guaranteed. Risk of loss or damage passes to you when goods are delivered to the address provided or collected from us. Installation, commissioning and configuration services, where included, are performed on agreed dates and site conditions. Delays caused by site-readiness issues, access restrictions or force majeure are not our responsibility.

6. Inspection & Acceptance at Delivery

You must inspect all goods and completed works at the time of delivery, before signing the delivery note or acceptance letter. Any shortage, wrong item, incorrect model or specification, or visible damage must be noted in writing on the delivery note or acceptance letter at the moment of delivery. Signing without written reservation confirms that you have received exactly what you ordered, in full and in good working condition.

Where we have made a genuine supply error noted at the time of delivery (wrong item, missing items, or a model that does not match your confirmed order), we will correct it at no extra charge by replacement or by supplying the missing items. This does not apply to change of mind, incorrect customer selection, or compatibility issues (see clause 7).

Claims raised after the delivery note or acceptance letter has been signed without written reservation are handled only under the Dead on Arrival and manufacturer warranty process (clause 8), and are not treated as a return, refund or credit.

7. No Returns & No Refunds

All sales are final. We do not accept returns, exchanges or refunds for change of mind, incorrect customer selection, compatibility issues, or ordering errors.

Because many of our products are specialised ICT and ELV equipment, software licences and built-to-order configurations, we cannot resell returned items. You are responsible for verifying product specifications, quantities, compatibility and site requirements before completing your purchase. If you are uncertain, please contact our team for assistance before ordering.

8. Dead on Arrival (DOA) & Manufacturer Warranty

If a product is defective or dead on arrival, you must notify us in writing within 24 hours of delivery with clear photographs, serial numbers and a detailed fault description. We will work with the manufacturer or authorised distributor to determine whether the item qualifies for warranty repair or replacement. The manufacturer's warranty terms apply; we do not provide refunds for DOA or defective goods.

Warranty periods, processes and coverage are determined by the original manufacturer or software publisher. We can facilitate warranty claims as a service, but freight, customs and labour costs outside the manufacturer's warranty are chargeable.

9. Software, Licences & Digital Products

Software, licence keys, subscriptions and digital products are non-returnable and non-refundable once delivered, activated or registered. You are responsible for ensuring that the licence type, quantity and platform are correct before purchase. Subscription renewals are charged automatically unless cancelled in writing before the renewal date.

10. Services, Annual Maintenance Contracts (AMC) & Cancellations

Professional services, installation, configuration and support are quoted based on the scope described. Any changes or additions requested by the customer will be quoted separately. Service fees are non-refundable once work has commenced or resources have been scheduled.

AMC and managed service contracts are valid for the term stated in the agreement and renew automatically unless either party provides at least 30 days' written notice of non-renewal. Scheduled on-site visits that are cancelled or rescheduled by the customer with less than 24 hours' notice may incur a cancellation fee.

11. Limitation of Liability

To the maximum extent permitted by UAE law, our total liability for any claim arising from a product or service shall not exceed the amount paid by you for that specific product or service. We are not liable for indirect, consequential, special or punitive damages, including lost profits, data loss or business interruption, even if advised of the possibility.

12. Governing Law & Disputes

These Terms & Conditions are governed by the laws of the United Arab Emirates. Any dispute arising from them shall be subject to the exclusive jurisdiction of the courts of Dubai, United Arab Emirates.
